AWAA Steering Committee Meeting Minutes

May 5, 2010 @ Coffee to a Tea w/Sugar

Meeting was called to order at 4:30. In attendance were Glenda Weibel, Susan Miller, Hans Westphal and Ben Brackin.

There was no budget report for the month.

Hans asked for input on what the duties of the Membership Chair should be. He is already distributing the AWAA leaflet (printed in 2009) to West Seattle locations, as well as communicating with new members, and maintaining the official list of members. Meeting attendees believe that those duties are appropriate. In addition, Hans is always available to shoot digital images of members' artwork at cost. Hans has also volunteered to review existing Steering Committee position duties as currently described -- we know that these are out-of-date (e.g., position of Webmaster) -- and propose revisions/amendments.

Hans also reported that since only one member (Tatyana Brown) expressed interest in the Alki Art Fair, July 24-25, we will not be participating this year.

Hans will also lead our effort for the West Seattle Junction Street Fair (we guess it to be weekend of July 10 -11), including providing a canopy (existing one may be MIA due to displacement of Burien group that was storing one for us).

Ben reported that he expects to submit the Group Show catalog to PS Print later today. The catalog proofs will go to Nichole for review. Attendees discussed charging for the catalog and agreed that for this year it would be inappropriate to charge members. However, we will put out a donation basket with the catalogs and accept donations to defray the cost incurred.

We also agreed that in the coming months, the Steering Committee will discuss having an entrance fee for the 2011 Group Show. Susan said that she knows of no arts organization that does not impose such a fee. It was agreed that the logistics of charging for a catalog (i.e., who pays what to whom when) were too complex, and an entry fee would also cover other expenses (e.g., musicians). Hans pointed out that when the existing rules were put into place, there was no expectation of the organization incurring any costs. Therefore, this seems something to be reviewed and probably changed. Ben noted that for 2011 show the group should continue to investigate other printing options, ideally building a multifaceted relationship with one.

Glenda brought in an article from the 4/30/10 West Seattle Herald about the Seattle Design Commission soliciting ideas for public spaces. Given that installing artwork at the hole and empty storefronts was something we, as a group, indicated a lot of interest in at the brainstorming session, Susan will introduce the idea at the Monday meeting and ask for someone to spearhead this effort. The submission is due 5/24, however, so will require quick work.

The attendees also discussed pursuing the development of relationships with local businesses, especially -- given the catalog and related needs as noted above-- a printer, e.g. Liberty Printing across the street. Ben noted the attempt to connect with Twilight for collaborative effort, but that they had been lukewarm.

Glenda asked about attendance at previous Art&Brew, but no one present had attended. Susan will double check that the one prior to May 10 meeting is on the website, and will also make sure the website notes that there will be no June general meeting due to the Group Show reception.

Susan and Ben were thanked for their service to the organization.

Meeting was adjourned at 5:18 pm.
